Tiivistelmä
Tutkimuksen tavoitteena oli tutkia tiedonhallinnan kehittämistä kohdeyrityksen hankintoihin liittyen. Tutkimuksessa toteutettiin pilotointitutkimus kohdeyrityksessä kehitettäviin hankintakortteihin. Pilotointitutkimuksen tarkoituksena oli kokeilla uuden tiedonhallinnan työkalun käyttöönottoa ja tutkia siihen liittyviä ensimmäisiä käyttäjäkokemuksia kuten työkalun tärkeimpiä ominaisuuksia sekä mahdollisia kehityskohteita.
Käytettynä tutkimusmetodologiana toimi kvalitatiivinen pilotointitutkimus. Pilotointiin liittyvä käyttäjätutkimus suoritettiin haastattelemalla kohdeyrityksen eri organisaatioissa työskenteleviä toimihenkilöitä. Haastatteluista muodostettiin analyysi tutkijan toimesta ja tulokset esiteltiin hankintakorttien kehitysryhmälle. Tärkeimmät päätösehdotukset tuotettiin tulosten pohjalta, ja ne esiteltiin lopulta kohdeyrityksen hankinnan johtoryhmälle.
Tutkimuksessa ilmeni, että hankintoihin liittyvän tiedonhallinnan kehittäminen koetaan kohdeyrityksen toimihenkilöiden keskuudessa tarpeelliseksi. Hankintakorttien pilotoitu toimintatapa todettiin hyödylliseksi ja sitä toivottiin kehitettävän eteenpäin. Hankintakorttien pilotoitu valikoima todettiin pilotointivaiheessa vielä suppeaksi, minkä takia kohdeyrityksen hankinnan johtoryhmässä päätettiin uusien hankintakorttien laatimisesta tutkimustulosten pohjalta.
Tutkimuksen johtopäätöksinä voidaan todeta, että hankintoihin liittyvälle tiedonhallinnalle on tarvetta ja sitä halutaan kehittää kohdeyrityksen toiminnoissa. Tutkimuksen aikana hankintatiedon dokumentoimiselle ja jakamiselle luotiin toimintatapa, jonka avulla uusien hankintakorttien laatiminen olisi mahdollisimman tehokasta ja laadukasta. Hankintakorttien rakentamista ja päivittämistä pyritään edistämään kohdeyrityksessä hankinnan johtoryhmän tuella ja tiedonhallinnasta kiinnostuneilla työryhmillä. Tutkimuksessa saatiin positiivisia signaaleita uuden toimintatavan jalkauttamiselle, mutta jalkauttamisen lopputulos nähdään vasta hankintakorttien nimikevalikoiman laajentamisen jälkeen kohdeyrityksessä. The objective of the research was to study knowledge management development of procurement in the case company. Research concluded a pilot study, which focused on development of purchasing playbooks. The aim of the pilot study was to test a new tool for knowledge management and to study first user experiences within the tool, such as the most important features and development areas.
The used research method was a qualitative pilot study. The user study of the pilot was performed by interviewing selected employees, which were working in different organizations inside the case company. Based on interviews, a collective analyze was performed by the researcher and the results were introduced to a procurement development team. With the development team, the most crucial decision proposals were made and introduced to the case company’s procurement management group.
The main findings of the study were that developing knowledge management is experienced as a necessary action among the employees of the case company. Purchasing playbooks, which were piloted in this research, were discovered beneficial and the development of the procedure wanted to be continued. The piloted collection of the purchasing playbooks was seen constricted, which lead to the decision in the procurement management group to create a wider collection of new playbooks.
As conclusions of this research, it is said that the need of knowledge management practices relating to purchases exists in the case company. During this research, a procedure and a tool for procurement knowledge management was developed. Creation of new purchasing playbooks and updating process of the existing ones is planned to happen with development groups, while the development process is supported by the procurement management group. Overall, this research gave positive signals for the new practice of knowledge management, but the result of final implementation will be seen after the wider collection of purchasing playbooks are introduced within the case company.
