Tiivistelmä
Opinnäytetyön tarkoituksena oli syventyä sähköiseen arkistointiin ja sen toteuttamismahdollisuuksiin toimeksiantajan organisaatiossa. Tutkimuksessa haluttiin selvittää sekä paperisen että sähköisen arkistoinnin yleispiirteitä ja keskittyä tarkemmin sähköisen arkistoinnin teemoihin. Tutkimuksen päätavoitteena oli antaa toimeksiantajaorganisaatiolle suosituksia sähköiseen arkistointiin siirtymisestä.
Teoreettisessa osuudessa käsiteltiin sähköisen arkistoinnin hyötyjä, haasteita, asiakirjojen säilyttämisen ja tietoturvan teemoja. Teoriaosuudessa tarkasteltiin myös sähköiseen arkistointiin liittyviä standardeja, välineitä ja tiedostomuotoja. Lähdemateriaalina toimivat muun muassa arkistointialan ammattikirjallisuus, ajantasaiset lait sekä asetukset arkistointiin liittyen.
Tutkimuksen empiirinen osa toteutettiin kvalitatiivisin menetelmin. Tiedonkeruuta suoritettiin puolistrukturoidun teemahaastattelun keinoin. Tällä tavoin saatiin kerättyä moniäänistä dataa toimeksiantajalta. Haastatteluilla kerättiin tietoa toimeksiantajan suhtautumisesta heidän nykyiseen arkistointiprosessiinsa, sähköiseen arkistointiin sekä kartoitettiin niitä toiveita ja tarpeita, joita organisaation jäsenillä on sähköiseen arkistointiin liittyen. Saadut haastattelutulokset litteroitiin ja analysointiin kategorisoimalla dataa. Toimintasuositukset laadittiin empirian ja teorian avulla hyödyttämään toimeksiantajaa.
Haastatteluista kävi ilmi, että toimeksiantaja on tyytymätön nykyiseen arkistointiprosessiinsa ja on kiinnostunut siirtymään sähköiseen menettelyyn tietyin varauksin. Toimintasuosituksissa pyrittiin huomioimaan toimeksiantajan huolenaiheet ja laatimaan ohjeistuksia pitäen ne mielessä. The purpose of this thesis was to get a deep understanding of electronic archiving and they ways it can be executed in the commissioner’s organisation. The study aimed to examine the main features of both traditional and electronic archiving and to focus more closely to the themes of electronic archiving. The main goal of the study was to give the commissioner recommendations about moving into electronic archiving.
The theoretical part of the thesis deals with the benefits and challenges of electronic archiving, the themes of storing of electronic documents and information security. The theoretical part also examined the standards, tools and file formats related to electronic archiving. Source material was gathered from professional literature on archiving and recent laws and regulations related to archiving.
The empirical part of the study was conducted using qualitative methods. Information was gathered with a themed interview. With this method it was possible to gather concerted data from the commissioner. The interview gathered information on the commissioner’s stance on their current archiving process, electronic archiving as well as surveyed the wishes and needs the organisations employees have regarding electronic archiving. Gathered interview material was transcribed and analysed with the method of categorizing. The recommendations were complied with the help of the empirical and theoretical parts of the study to be of use to the commissioner.
From the interviews it turned out to be clear that the commissioner was unsatisfied with their current archiving process and is interested in moving onto an electronic archiving method with some hesitance. In the recommendations the concerns of the commissioner were taken into account and the recommendations were drawn up with them in mind.
