Tiivistelmä
Opinnäytetyön aiheena oli sisäisen viestinnän kehittäminen Andritz Oy:n KFT-divisioonassa. Kyseinen divisioona oli jo aiemmin valinnut uusiksi sisäisen viestinnän kanavikseen Yammerin, digitaaliset infonäytöt sekä erityisesti projektityöskentelyyn tarkoitetun Microsoft Teamsin, mutta niitä ei ollut vielä otettu kunnolla käyttöön. Työssä perehdyttiin siihen, kuinka Yammeria ja Microsoft Teamsiä voitaisiin markkinoida henkilöstölle. Tavoitteena oli löytää keinoja henkilöstön sitouttamiseen uusien viestintäkanavien käyttöön ja hyödyntämiseen. Sitoutumisen myötä pyrittiin myös saamaan henkilöstö vuorovaikuttamaan kyseisissä kanavissa keskenään.
Tutkimuksellinen osuus koostuu aiemmin toteutetusta henkilöstökyselystä, jossa pyrittiin selvittämään henkilöstön mielipiteitä yrityksen sisäisestä viestinnästä yleisesti ja miten he haluaisivat sitä toteutettavan. Työssä tutustuttiin toisen divisioonan aiemmin tehtyyn sisäisen viestinnän kehittämisohjelmaan, jossa otettiin aktiiviseen käyttöön Yammer ja digitaaliset infonäytöt. Lisäksi toteutettiin tutkimuksen kohteena olleen divisioonan henkilöstön keskuudessa sähköinen kysely sekä haastattelut, joilla selvitettiin heidän mielipiteitään Microsoft Teamsistä ja Yammerista. Kyseisistä kanavista tehtiin myös SWOT-analyysit, joiden avulla saatiin selville niiden vahvuudet, heikkoudet, mahdollisuudet sekä uhat. Näin pystyttiin pohtimaan, mitä kanavien toimintoja kannatti markkinoida henkilöstölle.
Keskeisimmäksi tutkimustulokseksi nousi henkilöstön epävarmuus ja kokemattomuus uusia viestintäkanavia kohtaan. Heille oli epäselvää se, mitä missäkin kanavassa tiedotettaisiin ja tehtäisiin. Lisäksi työntekijät halusivat löytää ratkaisun siihen, miten vältetään tiedon hajautuminen liian moneen kanavaan.
Työn päätelmiä olivat, että kanavat on markkinoitava houkuttelevina ja niiden toimintatavat on tehtävä henkilöstölle selkeiksi. Henkilöstö on perehdytettävä uusien kanavien käyttöön. Aktiivinen käyttöönotto edellyttää, että vanhat kanavat, kuten Skype, poistetaan mahdollisimman pian käytöstä. Johdon ja esimiesten on omalla esimerkillään luotava uusi sisäisen viestinnän kulttuuri. The purpose of the thesis was to investigate the improvement of internal communication in the KFT-division of Andritz Oy. KFT-division had already earlier selected Yammer, digital information screens and Microsoft Teams as their internal communication channels. However, these channels were not fully implemented into use. The thesis investigated how Yammer and Microsoft Teams can be marketed to the company’s employees. The aim was to find solutions for committing employees to utilize and interplay through the new communication channels.
The empirical part of the thesis consists of a personnel survey, which had already been completed earlier. The aim of the personnel survey was to investigate the employees’ opinions on the internal communication generally and on the ways the communication should be organized. To support the empirical part of the thesis, an internal communication program from another division was investigated. This worked as a benchmark for how another division implemented Yammer and digital information screens into use. The research methods of this study were an electronic survey and interviews which were held for the employees of the KFT-division. The aim of the survey and the interviews was to investigate the employees’ opinions on the Microsoft Teams and Yammer. The strengths, weaknesses, opportunities and threats of the Microsoft Teams and Yammer were analysed with the SWOT-analysis, which is presented in the empirical part of the study.
The electronic survey and the interviews showed that the company’s employees feel insecure and unexperienced in the use of the new communication channels. The employees feel that it is unclear what to inform through which channel and how those different communication channels should be utilized generally. The employees are willing to avoid a situation where the information flows would be too dispersed.
The outcome of the thesis was that the implementation of new information sharing channels requires attractive marketing actions. At the implementation phase, the employees should be trained carefully in how to utilize the new channels. Old communication channels, like Skype, should be terminated as soon as the new channels are in use. This way, it is possible to reach more active adoption by the employees. Managers play a major role in this by showing the way for the employees by using the new channels actively.
