Tiivistelmä
TEPPO on Turun ammattikorkeakoulun projektisalkun- ja työajanhallinnan tietojärjestelmä. Opinnäytetyön tarkoituksena oli selvittää, tarvitaanko järjestelmän käyttöön lisää koulutusta, mihin tarkoitukseen sitä käytetään ja mitä tietoa sieltä käytetään. Lisäksi tarkoituksena oli selvittää, minkälainen järjestelmän käytettävyys on, miten se palvelee projektin- ja projektisalkunhallintaa sekä miten järjestelmää tulisi kehittää. Opinnäytetyön aineistonkeruumenetelmäksi valittiin kyselytutkimus. Tutkimuksen perusjoukon muodostivat Turun ammattikorkeakoulun henkilöstöstä sellaiset henkilöt, jotka käyttävät TEPPO-järjestelmää projektin- ja projektisalkunhallinnan näkökulmista.
Hieman yli puolet tutkimukseen osallistuneista oli sitä mieltä, että järjestelmän käyttöön pitäisi järjestää lisää koulutusta. Eniten vastaajat käyttävät järjestelmää tuntien resursointiin, kirjaamiseen sekä tuntikirjausten ja resursointien tarkastamiseen. Järjestelmää käytetään projektien johtamiseen ja seurantaan sekä projektien talouden suunnitteluun, seurantaan ja raportointiin. Järjestelmästä saatavaa tietoa hyödynnetään esimerkiksi esimiestyössä ja viestinnässä.
Noin neljä viidesosaa oli sitä mieltä, että järjestelmä tukee projektinhallintaa, ja että projektinhallinta on helpottunut järjestelmän myötä. Vastaajista alle neljä viidesosaa oli sitä mieltä, että järjestelmä on parantanut tiedon saantia ja viestintää projektisalkunhallinnan näkökulmasta sekä lisännyt läpinäkyvyyttä Turun ammattikorkeakoulussa. Kyselyn ja teorian perusteella listattiin konkreettiset kehittämisehdotukset järjestelmän käyttöä ja kehittämistä varten. Kehittämisehdotuksia tuli etenkin tuntien kirjaamiseen, resursointiin ja raportteihin liittyen. TEPPO is an information system for project portfolio and working time management at Turku University of Applied Sciences. The purpose of the present Master’s thesis was to clarify whether further user training is required; the purpose for which the system is used; and what information is regularly retrieved from the system. The purpose was also to explore the usability of the system; how it serves project and portfolio management; and how the system should be further developed. A survey was chosen as a method for gathering the data. The survey respondents comprised of the staff of Turku University of Applied Sciences who use the TEPPO system from the point of view of project and portfolio management.
Over half of the respondents thought that more training should be provided on how to use the system. It was observed that most of the respondents used the system for resource allocation, recording hours, checking project hourly registrations and resource allocations. The system is used for the management and follow-up of the organisation’s projects as well as their financial planning, follow-up and reporting. The information from the system is utilised for example by the senior management and for communicational purposes.
About four fifths of the respondents thought that the system supports project management and that this task has become easier after the introduction of the system. Less than four fifths of the participants thought that the system has improved the supply of information and communication from the point of view of project portfolio management and, at the same time, added transparency to the Turku University of Applied Sciences’ processes. Based on the survey results and the chosen theoretical approaches, concrete development proposals were listed regarding the use and further development of the system. Proposals for development are presented specifically for the recording and resource allocation of working hours and for system reports.
