The availability of digital communication media makes it easier and faster to have discussions between people located in different areas. However, business trips and face-to-face meetings are stated to be crucial in customer relations. This thesis sets its focus on communication media and project teams’ need for business trips during power plant deliveries from Finland to Asia.
The aim of this thesis is divided into two subsidiary aims. The first aim is to investigate if a face-to-face meeting is a crucial element in a good co-operation between buyer and seller, or if the face-to-face meeting can be replaced by digital communication media. Additionally, the thesis studies the choice of communication media and the consequences they might have for a project. The second aim is to investigate the impact of good project planning and how it affects the travel costs and CO2 emissions of a project. The method is a quantitative research answered by the project teams, and additionally, an investigation and evaluation of flight tickets and carbon emissions data.
The main results of the thesis show that a face-to-face meeting cannot be replaced by digital communication media. However, they complement face-to-face meetings. Consequences will arise during project executions if face-to-face meetings are neglected and the project teams rely on digital communication media. Project teams experience consequences such as lack of trust, damaged personal relationships, differences in opinions, and increased costs in the project. Business trips are carried out to ensure that the project delivery does not suffer from the above-mentioned consequences, and additionally, to maintain a good relationship with the customer. In order to gain and maintain the customer’s trust, face-to-face meetings are required, and therefore, business trips are inevitable. The planning of project deliveries is crucial for both costs and CO2 emissions.
